Field Trip, Education Program, Charitable Activity: Kentucky’s 48-Hour Beauty-School Record Map

Direct sources. Clear status. Practical public information.

Kentucky’s current beauty-school rule creates three separate extracurricular-hour categories for cosmetology, nail technician, and esthetician students: professional field trips, educational programs, and charitable activities. The same rule also creates category limits, a combined limit, a daily limit, and a reporting deadline. A calendar entry alone is not a complete record.

The current Kentucky map

Category Maximum described by the rule Record question
Field-trip activities pertaining to the profession of study Up to 16 hours What professional learning activity occurred, when, and how did it relate to the program?
Educational programs Up to 16 hours What program was attended, and what participation evidence is preserved?
Charitable activities Up to 16 hours What charitable activity occurred, and what student participation is documented?
All three categories combined No more than 48 hours; no more than 9 hours per day Do the category totals, combined total, and daily total stay within the current rule?

Section 16 of 201 KAR 12:082 says attendance or participation is reported to the Kentucky Board of Cosmetology within ten business days of the field trip, education show, or charitable event using the Certification of Student Extracurricular Event Hours form. The regulation identifies the incorporated form as the December 2024 edition.

Build one event record before counting the hours

A school-controlled event row can keep the evidence from becoming a memory exercise:

  1. Student and program: exact enrolled program and school record identity.
  2. Event category: field trip, educational program, or charitable activity—do not merge the three.
  3. Event identity: title, organizer, location, date, start/end time, and public or school evidence pointer.
  4. Program relationship: the bounded reason the activity pertains to the profession or education.
  5. Participation proof: attendance or participation record controlled by the school; protect private information.
  6. Hours reviewed: hours proposed for the event, category-to-date total, combined total, and same-day total.
  7. Human verification: responsible school/instructor review, correction owner, and unresolved question.
  8. Board reporting: form/version, submission date, receipt or status evidence when available, and any correction.

Four records that should not be merged

Record What it can show What it does not establish by itself
Event invitation or agenda The event was announced with stated content and timing. That a student attended, participated, earned hours, or was reported.
Participation evidence The school has evidence tied to the student and event. Final hour credit, Board acceptance, or program completion.
School extracurricular-hour row The school classified and reviewed the claimed hours. That the Board received or accepted the report.
Board submission/receipt record The school can document the reporting step and observed status. Licensure, examination eligibility, graduation, or any other complete student outcome.

Reader-controlled verification card

  • Which of the three Section 16 categories owns this event?
  • What exact hours are being proposed, and is any day above nine hours?
  • What are the category-to-date and combined totals?
  • What participation evidence does the school control?
  • Which December 2024 form/version is being used?
  • What is the ten-business-day reporting date for this event?
  • Who can correct a category, hour, identity, or submission error?

Reader stop point

Pause before treating an invitation, certificate, screenshot, volunteer statement, or school calendar as automatic credited hours. The current regulation, incorporated form, school record, exact timing, Board reporting process, and responsible human review control. A particular student may also have contract, attendance, completion, aid, or other requirements that this general map does not decide.

What Louisville Beauty Academy can contribute

Louisville Beauty Academy can teach students to separate event category, participation proof, hour calculation, school verification, and Board reporting into a reviewable evidence chain. LBA does not speak for the Board, certify another school’s record, or guarantee that an activity will receive credit or produce examination, licensure, aid, completion, or employment results.
